Prerequisites for All Devices

Before setting up your email, it’s important to choose how your email will be stored and accessed. You have two options:

  • IMAP (Internet Message Access Protocol): Recommended if you want to access your email on multiple devices (e.g., phone, computer, tablet). With IMAP, emails are stored on the server, so everything stays synced across all your devices.

  • POP3 (Post Office Protocol 3): Best for single-device access. Emails are downloaded to your device and usually removed from the server, meaning they won’t be accessible from other devices later.

✅ For most users, IMAP is recommended—especially if you check your email on both your phone and computer.

You’ll also need:

  • Your email address (e.g., info@yourdomain.com)

  • Your email password

  • Your domain’s mail server info:

    • Incoming (IMAP/POP): mail.yourdomain.com

    • Outgoing (SMTP): mail.yourdomain.com

    • Recommended ports:

      • IMAP: 993 (SSL)

      • POP3: 995 (SSL)

      • SMTP: 465 (SSL)

 1. Setting Up cPanel Email in Microsoft Outlook (Desktop)

Step-by-Step

  1. Open Outlook

  2. Click on File > Add Account

  3. Choose Manual setup or additional server types, click Next

  4. Select POP or IMAP, click Next

  5. Fill in these details:

Account Type IMAP (Recommended) or POP3
Incoming Server mail.yourdomain.com
Outgoing Server mail.yourdomain.com
Username yourname@yourdomain.com
Password Your email password
  1. Click More Settings

  2. Go to the Outgoing Server tab:

    • Check My outgoing server (SMTP) requires authentication

    • Select Use same settings as my incoming mail server

  3. Go to the Advanced tab:

    • Incoming port: 993 for IMAP (or 995 for POP3)

    • Outgoing port: 465

    • Use the following type of encrypted connection: SSL

  4. Click OK > Next > Finish


2. Setting Up cPanel Email on Android Phone (Gmail App)

  1. Open the Gmail app

  2. Tap Menu (☰) > Settings > Add account

  3. Tap Other

  4. Enter your email address and tap Manual Setup

  5. Choose IMAP or POP3

  6. Enter your email password

  7. Incoming server settings:

    • Username: yourname@yourdomain.com

    • Password: your email password

    • Server: mail.yourdomain.com

    • Port: 993 for IMAP (995 for POP3)

    • Security: SSL/TLS

  8. Outgoing server settings:

    • SMTP Server: mail.yourdomain.com

    • Port: 465

    • Security: SSL/TLS

    • Require sign-in:  Yes

    • Username: yourname@yourdomain.com

    • Password: your email password

  9. Tap Next, set sync options

  10. Tap Done


3. Setting Up cPanel Email on iPhone or iPad (iOS)

  1. Go to Settings > Mail > Accounts > Add Account

  2. Tap Other > Add Mail Account

  3. Enter:

Email yourname@yourdomain.com
Password Your email password
Description Any name (e.g., Work Email)
  1. Tap Next

  2. Choose IMAP or POP at the top

  3. Fill in:

Incoming Mail Server:

Outgoing Mail Server:

  1. Tap Next, wait for verification

  2. If successful, tap Save

You can go back and enable SSL by editing the account under Settings > Mail > Accounts > Your Email > Advanced


Final Tips

  • You can also get these settings from cPanel:

    • Go to cPanel > Email Accounts > Connect Devices

  • Always choose IMAP if you want to sync across multiple devices

  • Use the hosting server’s hostname (e.g., server.netpoa.com) if SSL with your domain fails
